The MongoDB London 2024 Conference brought together over 1,000 professionals from the software industry for an engaging day of learning, networking, and innovation. Hosted at the renowned Hilton Metropole, the event’s dynamic agenda required meticulous planning and flawless execution to meet MongoDB’s high expectations.
MongoDB’s brief for the event was ambitious: create a plenary space capable of accommodating 1,000 attendees and transform it into two distinct rooms within a 30-minute coffee break. Additionally, the event required three breakout rooms and five workshop spaces to operate simultaneously, each equipped to handle live sessions without any technical hiccups.
Encore was tasked with providing full technical production, including audio, lighting, and staging, to bring MongoDB’s vision to life. Our challenge was to manage multiple moving parts and deliver a seamless experience for all attendees.
Delivering an event of this complexity required rigorous pre-production and precise execution. Encore’s approach focused on detailed planning and close collaboration with MongoDB to ensure every element was aligned with their vision.
Key highlights included: Plenary space transformation: The plenary room featured the ability to transform into two distinct rooms within a 30-minute coffee break, breakout rooms and workshops: Three breakout rooms and five workshop spaces operated simultaneously, each equipped to handle live sessions seamlessly and communication: Constant communication with MongoDB’s team ensured that every detail was addressed during the pre-production phase, reducing the risk of onsite challenges.
The event’s success hinged on the flawless execution of the room transformation and the seamless operation of all concurrent spaces. Thanks to meticulous planning and expert onsite management, the turnaround was completed within the required timeframe, earning praise from MongoDB.
Encore looks forward to continuing its partnership with MongoDB for future events, building on the success of the London 2024 Conference.
